I love this question for one reason – tracking your small business finances is critical to understanding and succeeding in your business. Without tracking your numbers there is no way to tell how well you are doing without the knowledge that you cannot adapt and change your business to increase your success.

Fortunately, there are many options available; When I started working for myself, there were really only two good options for accounting software: QuickBooks and Peachtree (now Sage50). Here are some recommendations for small business accounting software available today:

If you’re set up as a sole proprietor and you already use Quicken for personal finance, you can create categories for your business in your existing software. Create a category of income and expenses under your business name, then set up subcategories for details under the broad category. Then you can run reports on just these categories to see how you’re doing. Caution: Do this only if you are a sole proprietor and have separate bank accounts for your personal and business life (If you don’t already use Quicken and are a sole proprietor, they have a version that lets you run your business and your life without creating your own account.)

If you’re anything other than a sole proprietor or don’t already use Quicken, I’d recommend getting the basic version of QuickBooks

. It is easy to use and almost any CPA will be able to use it for tax purposes. It simplifies the financial management of your small business, the software will grow with your business.

If you prefer not to use Quickbooks, there are other downloadable options. If you plan to grow a much larger business than you just have or have a large amount of inventory, you may want to consider the Sage 50.

Another option I would recommend is to use Excel, but only if your transaction volume is low. Another area that Excel is good for, if not tracking expenses, is for cash flow and future planning purposes. It can be easier to use and adjust than the scheduling features of some accounting software options available. I myself use Excel for cash flow planning. If you don’t want to create an Excel form from scratch, check out Vertex42, they have tons of templates you can use for free.

Finally, if you don’t want the software on your computer, there are now online programs available For example, QuickBooks and Sage50 both have online versions of their software. There are also new companies like Fresh Books, Outright and Xero that also have online tools. My only caveat to going the online route is that you don’t own the data, if the site goes down, so does your data.

What you ultimately choose is up to you and your business. Keep in mind your available budget, what you need to do now and in the future (there’s no point in changing software later) and how easy it is for you to use.

Once you’ve chosen your expense and income tracking method, the key is to actually use it! Set a fixed time and put it on your calendar at least once a month, but weekly is better. So not only will you know how your business is doing, you’ll also be prepared for taxes come January!
